Working Hours:
Working hours consists of a 25-hour work week Monday through Friday between the hours of 8:00 a.m. and 9:00 p.m. exclusive of a ½ hour or 1 hour lunch. Specific work hours to be agreed upon by the supervisor and the employee prior to the onset of employment. Position may require one evening per week and weekend work on occasion with advance notice.
Summary:
Work as a member of the Advising and Retention Team to provide employment, transfer, advising and career exploration support to students. Utilize career and transfer resources to orient students to the services provided in the Career and Transfer Centers and assist in the promotion of services in the classroom and at campus events. Operate as a liaison to employers and college partners to maintain active job postings and assist with scheduling on campus visits. Assist with planning and coordinating career, transfer and employment preparation events. Maintain data on student usage of program services. Conduct a graduate follow-up survey. Hire and train student workers.
Essential Duties and Responsibilities:
- Orient students to the services offered through the Advising, Career and Transfer Centers by disseminating information and participating in classroom activities and student events such as orientation and Open Houses, as requested.
- Provide instruction to students on the career assessment and job search software.
- Assist in the organization, preparation and dissemination of the Advising, Career and Transfer Center information via print and digital mediums and social media platforms.
- Serve as a liaison to transfer college representatives, employers and the business community by maintaining job postings, scheduling visits and connecting students to job, internship and transfer opportunities.
- Collect student data and maintain Career and Transfer Center statistics as requested. Monitor and track referrals as required.
- Develop and maintain a system to facilitate student employment by collecting resumes, assisting students with job search preparation and referring students to potential employers. Maintain the confidentiality of these records.
- Schedule, coordinate and promote employer and transfer college visits to the campus.
- Assist in the training and guidance of student workers.
- Assist with planning, coordinating and implementing Career and Transfer Center events.
- Assist with implementation of an annual graduate follow up survey and assist with additional data collection and surveys as requested.
- Assist with Advising Center needs and other related duties as assigned.

Education and/or Experience:
Required
- High School diploma
- Three years of prior administrative assistance experience in business, office and/or project management
- Proficiency in the use of Microsoft Office and internet skills
Preferred
-
- Associates degree in a business-related field
- Experience working in an educational setting, preferably a community college
- Two or more years of experience running a high-volume office
- Bi-lingual English/Spanish
- Experience working within a role that required interaction and communication with outside businesses and/or vendors
- Experience using Microsoft Office to develop flyers, presentations and to gather data and create reports
Communication Skills:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before small groups of students or employees of the College.
Mathematical Skills:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills:
To perform this job successfully, an individual should be proficient in the use of Microsoft Office (especially Word, Excel, and PowerPoint) and Internet skills.
