Working Hours:
Working hours for this position consists of a 37.5 hour week. The working schedule for each day will be 7.5 hours exclusive of a ½ or 1 hour lunch. This position requires working one evening per week. A base schedule will be established and agreed upon between the supervisor and the employee at the onset of employment.
Note: This position may require additional evening or weekend work on occasion with the Employee having the option of working this time in addition to or in lieu of regular hours.
Travel Requirements:
Position requires limited local travel; employee must have access to transportation.
Summary:
Provides administrative support services and coverage for various offices throughout the College as operational needs dictate. Professional demeanor and dress required at all times. Assists with key projects and College events as needed. Assignments will vary weekly.
Essential duties and responsibilities:
- Provide receptionist, secretarial, and clerical support to assignment areas to include answering phones, responding to general email inquiries, scheduling appointments, organizing mailings, and other responsibilities.
- Provide customer service to students and employees as a main point of contact in all assignment areas. Direct students to appropriate staff as necessary. Often deal with challenging student interactions in a professional and diplomatic manner.
- Perform data entry, retrieval, and reporting as assigned.
- Write and/or update operating procedures for assignments.
- Assist with College events as assigned including but not limited to Welcome Back Day, Commencement, Student Open House, Student Orientation, Adjunct Faculty Orientation, Literacy Program Registration, etc.
- Assist with student “call” projects as assigned.
- Maintain responsibility for managing confidential and sensitive information in an ethical and professional manner.
- Perform other job related duties as assigned.
Education and Experience:
Required:
- High school diploma or equivalent.
- Two (2) years prior clerical/administrative assistance experience.
Preferred:
- Associate’s degree.
- Three to four years’ experience managing in a high-volume office.
- Bilingual Spanish/English.
- Community College experience.
- Basic budgeting experience.

Communication Skills:
Bilingual Spanish/English preferred. Ability to read and interpret documents such as safety rules, operating instructions and procedure manuals. Ability to write routine reports arid correspondence. Ability to speak effectively before groups of students or employees of the College.
Computer Skills:
Should have knowledge of Database software; Spreadsheet software and Word Processing software.
Mathematical Skills:
Requires basic mathematical skills.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where standardization exists. Ability to interpret a variety of instructions furnished in written or oral form.
