Summary:
Performs secretarial/receptionist and related duties in the Office of the President, and for the Director of Marketing and Communications, Director of Assessment, Research and Planning, Director of Grants / Major Gift Officer, the Foundation for RACC, and Academic Affairs as follows:
Essential Duties and Responsibilities:
- Provide back up to the Executive Administrative Assistant as needed.
- Assist in maintaining office and individual calendars and schedules appointments as directed.
- Screen incoming calls and correspondence and provide assistance when possible.
- Record and distribute meeting minutes as assigned including the minutes of Institutional Planning Council, following the Record Keeper responsibilities outlined in the Governance Bylaws.
- Assist Director of Grants / Major Gift Officer in maintenance of grant data.
- Manage Higher Education Opportunity Act (HEOA) data collection and record maintenance under the direction of the HEOA Coordinator.
- Assist the Foundation for RACC in updating their donor software system information on a routine basis.
- Assist Office of Assessment, Research and Planning with data entry and compilation of reports.
- Assist Academic Affairs with gathering data from the colleges’ Student Information Service (SIS), including IPEDS Cohort.
- Maintain and utilize mailing databases and prepare mailings.
- Proofread drafts of news releases, correspondence, publications and advertising material.
- Assist the Office of Marketing and Communications with purchase orders, etc.
- Track and archive RACC news such as newspaper and other publication articles.
- Track projects using software programs such as Excel and Word.
- Prepare general correspondence for areas indicated.
- The employee may be assigned to perform similar duties and responsibilities in other departments based on the needs of the College and with the direction of their immediate supervisor.
- Order and maintain supplies for all of the supported areas and also arranges for equipment maintenance when needed.
- Other related clerical duties as assigned.

Education and/or Experience:
Associates Degree or equivalent degree preferred. High School Diploma Required. A minimum of three (3) years related secretarial and/or administrative support experience required.
Computer Skills:
To perform this job successfully, an individual must have a strong working knowledge of Internet software; Microsoft Office software including Outlook, spreadsheet and word processing. Must possess or learn electronic file management and integration of MS-Office software including being able to copy and paste between applications. Must be willing to learn and capable of learning new technologies, systems and electronic media required in the completion of assigned job responsibilities as needed.

Ability to read and comprehend instructions, short correspondence, and memos and write correspondence. Ability to effectively present information in one-on-one and small group situations to administrators, board members, visitors and other employees of the organization.
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Reasoning Ability:
Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
