Summary:
The Director of Admissions and Enrollment Services is required to provide strong leadership in growing the outreach and recruitment activities that are integral to the on-going development and implementation of a sound Strategic Enrollment Management Plan. This includes a demonstrated understanding and appreciation for how to attract students to programs across the College, including those who prefer to enroll only in online offerings by implementing efficient, well-coordinated internal processes / procedures, but more importantly, by ensuring strong and innovative relationships with schools and community partners.
Specifically, the Director will oversee activities, programs, and initiatives designed to attract a diverse prospective applicant pool then convert that prospects’ interest into enrollment in College credit and/or non-credit offerings. The Director must be able to develop outreach / recruitment methods that are tailored to new and targeted markets. The Director is responsible for managing the Welcome Center, application processing, enrollment tracking and reporting, including maximizing the use of technology; this position will supervise members of the Admission, Welcome Center and Placement Testing Center teams. The Director will be required on a regular, on-going basis to work collaboratively with all areas of the College.
Essential Duties and Responsibilities:
Develop and implement recruitment and enrollment management strategies to enable the College to meet short and long term enrollment goals. Maintain ongoing analysis of enrollment reports and activities directed to achieve enrollment goals and revise as needed. Develop and utilize assessment tools to measure effectiveness of recruitment activities.
Lead the enrollment and admissions staff in developing outreach and recruitment initiatives that achieve strategic enrollment goals. Utilize data to establish enrollment targets and goals for each recruitment team member, as well as for the department. Develop and utilize assessment tools to monitor enrollment outcomes. Analyze and track enrollment patterns. Understand strengths and challenges of each enrollment team member, and provide hands-on coaching to assist them in professional growth that improves recruitment and conversion efforts.
Understand the prospective student pool, and create and provide on-going training and coaching for staff that ensures their individual and collective understanding of, and connections between, those prospects, their goals and how the programs offered by the College will help them achieve their goals.
Oversee a comprehensive outreach, communications and recruitment cycle. Understand the cyclical nature of student enrollment at the College, and in collaboration with the Dean of Enrollment Management, develop strategies that help predict and forecast enrollment.
Maintain admissions standards, policies, and procedures. Identify process improvements and develop an implementation timeline.
Ensure staff members have adequate technology to assist in new student recruitment. Develop automated communication workflows. Ensure staff are adequately trained, and that technology is used in a way that improves prospect generation and conversion.
Collaborate with the Director of Public Relations and Marketing in the development of online and print publications as well as other marketing related materials.
Collaborate with the Directors of Non-Credit programs to ensure enrollment staff are properly informed and trained to help advise prospects that consider these programs, and can support and facilitate their enrollment into non-credit programs when determined appropriate. Collaborate with the Placement Testing Center staff to ensure students receive proper levels of service, and advisors are provided adequate information to appropriately place students into the proper courses.
Collaborate with Advising Center staff to ensure a seamless transit for new students to advising and registration services.
Collaborate with the Director of Academic Partnerships to support and promote college initiatives through outreach and recruitment activities.
Assess demand and need for new programs and delivery strategies, and recommend strategies that promise enrollment strength to the Dean of Instruction.
Develop a comprehensive training program for all Admissions / Enrollment Services student workers and staff that focuses on them delivering a positive customer service experience. Oversee the department budget, requesting and allocating necessary funds for the department.
Maintain small pool and/or territory of prospective students to recruit to the College. Will manage population in the same fashion as enrollment service coordinators.
Represent the College at conferences, workshops, and other programs relevant to College admissions and Enrollment Services in a manner consistent with College policy and budget. Serve on selected committees and advisory boards.
Performs other related duties as assigned.
Supervisory Responsibilities:
Directly supervise full-time, regular part-time and other part-time employees as assigned which will include: Welcome Center and Admissions staff and Enrollment Service Coordinators. Carry out supervisory responsibilities in accordance with College policies; Collective Bargaining Agreements and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance, and taking corrective action with employees; addressing complaints and resolving problems.
Education and/or Experience:
Required
Master's degree w/ Three (3) years' managerial experience within the admissions, enrollment services or related areas in a post-secondary institution; or Bachelor's degree in Business or related field with 5 years managerial experience within the admissions, enrollment services or related areas in a post-secondary institution
Demonstrable success overseeing an enrollment management team/operation.
Demonstrated ability to create a positive student/customer-focused service center.
Excellent oral and written communication skills and public speaking ability.
Strong interpersonal skills; Ability to establish and maintain effective working relationships with others and to work in a team oriented environment.
Ability to work with diverse student populations and maintain strict confidentiality related to student data.
Demonstrated leadership and supervision skills.
Demonstrated ability to design data-informed, comprehensive outreach / recruitment strategies as well as efficient internal enrollment processes.
Proficiency in student information systems, marketing & automated communications systems such as a Customer Relationship Management (CRM) systems, databases, and spreadsheets.
Preferred
Management experience in a union environment.
Community College experience.
Fluency in Spanish.
Language Skills:
Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from students, prospective students, regulatory agencies, or members of the business community. Ability to write speeches and articles for publication that conform to prescribed style and format. Ability to effectively present information to administration public groups, and/or boards of directors.
Mathematical Skills:
Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Computer Skills: To perform this job successfully, an individual should be proficient with the use of Internet software; Spreadsheet software and Word Processing software.
Certificates, Licenses, Registrations:
Must possess a valid driver's license, and obtain a PA driver’s license within one year.

High degree of self motivation. Ability to function productively and independently. Excellent interpersonal skills and the ability to establish positive working relationships with diverse sectors of the College community.
