Working Hours
Working hours for this position consist of a 15 hour week (between the hours of 7:30 am to 5:00 pm.) Monday through Friday. These hours are to be spread over a five-day work week and may require occasional evening hours. The hours may be modified based on the needs of the Office of Academic Affairs.
Summary
Provides support to the Academic Affairs Office Suite in all aspects of Academic Programs.
Essential Duties and Responsibilities
1. Prepare and proofread materials using word processing and spreadsheet software.
2. Assist in maintaining files for the Academic Affairs office.
3. Assist with planning and implementation of Math Championship event and Poet Laureate event.
4. Assist with planning and implementation of Academic Partnership meetings and events.
5. Assist with preparation of student evaluation packets, gathering and compilation of information, tabulation, printing, and distribution of results.
6. Enter, edit and retrieve data for faculty student evaluations using scanning software.
7. Assist with preparation of dual enrollment – prepare packets for distribution to high schools.
8. Assist with maintaining and filing of dual enrollment faculty credentials and paperwork.
9. Enter, edit and retrieve dual enrollment course section data using the administrative software system.
10. Assist with maintaining updated contact lists of dual enrollment faculty, high school counselors, principals and superintendents.
11. Provide office coverage in the Academic Affairs Office as necessary.
12. Perform other related secretarial/administrative duties as assigned.

Qualifications

Education and/or Experience
High school diploma or general education degree (GED). Prefer some college level work. Bilingual is preferred but not required.
Language Skills
Ability to read and comprehend instructions, short correspondence, and memos. Ability to write simple correspondence.
Mathematical Skills
Requires basic mathematical skills.
Reasoning Ability
Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Ability to read and interpret data in order to assist with reports.
Computer Skills
To perform this job successfully, an individual: must be highly proficient with spreadsheet software, word processing software, and standard office equipment; prefer a working knowledge of Access and Outlook; must be able to learn how to use scanning software, scanning hardware, and administrative software system.
Other Qualifications
Ability to maintain confidentiality.
High degree of concentration required.
Requires moderate supervision and ability to be self-directed.
Excellent interpersonal and communication skills. Interact and communicate diplomatically with the Senior Vice President of Academic Affairs/Provost, Dean of Instruction, Dean of Assessment, Research, and Planning, Director of Academic Partnerships, Assistant Deans and Associate Deans of all Divisions, full-time faculty, adjunct faculty, staff, key personnel in other areas/departments, students and members of the general public.
Excellent organizational skills and proofreading skills.
