Summary
The Advantage Program Assistant has the responsibility for supporting the Advantage Program in data management, record keeping, and maintenance of files. Assist in communicating and in providing services to Advantage Program Students.
Working Hours
The working schedule for this position includes daytime hours primarily but could include evening working hours when needed to support evening instruction. A schedule will be determined by the Advantage Program Coordinator and employee at the beginning of each month.
NOTE: The working hours during any given day will not be divided so as to require the employee to report to work more than one time unless agreed upon by both parties.
Essential Duties and Responsibilities
This position reports to the Advantage Program Coordinator and provides support for the Advantage Staff. The program services first generation, low-income, underprepared college students. The Program Assistant will assist with our team to perform the following duties:
—Data Management
1. Assist in management and maintenance of files for Advantage students.
2. Assist in creating and maintaining SSSP files on EXCEL/ACCESS.
3. Assist in maintaining lists of currently enrolled Advantage Students.
4. Assist in collecting and recording data for Advantage Annual Report.
5. Assist, as needed, the Coordinator of the Advantage Program or Advantage staff Counselors in any other record keeping and student services projects.
6. Assist in orienting new students to the Advantage Program.
7. Assist in planning and providing cultural activities to Advantage Program students
8. Assist with setting up, developing, and maintenance of workshops.
9. Assist in designing, creating, and distributing the Advantage Newsletter each Semester
10. Assist in Advantage Program promotional activities.
11. Assist in contacting students through phone calls, emails and mailings

Qualifications

Education and/or Experience
1. Associate’s Degree. Bachelor’s preferred.
2. Proficient in EXCEL
3. Good communication skills, empathetic, and a have a desire to help others
4. Ability to relate to individuals of varying personalities and backgrounds.
5. Good planning and organizational skills.
Language Skills
Ability to read, analyze, and interpret general educational periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from faculty and students.
Mathematical Skills
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability
Ability to define problems, collect data, establish facts, and draw valid conclusions.
Computer Skills
To perform this job successfully, an individual should be proficient in word processing software, EXCEL, spreadsheet software, and standard office equipment. Experience with student or client tracking programs.
Other Qualifications
• Previous experience working in an office setting is preferred
• Proven ability to work independently with minimum supervision
• Excellent communication skills and the ability to establish and maintain rapport with staff, faculty and students
