Specific work hours to be agreed upon by the supervisor and employee prior to the onset of employment.
Summary:
Provides administrative support to the Disability Services Director and staff in all aspects of their services and programs.
Essential Duties and Responsibilities:
- Office work: Receive and assist visitors and telephone callers, providing accurate information or referring them to the supervisor or other offices as appropriate. Handle student interactions in a professional, welcoming, and diplomatic manner, and maintain a calm and courteous office environment at all times. Schedule various appointments for DS staff members. Make reminder calls to students the night before their appointments. Monitor general mail and general DS email account, responding or forwarding accordingly. Pull and return students files. Maintain, update, and print forms and handouts used in the DS office.
- Testing room: Receive, print, and log in all tests from faculty. Proctor tests: meet students, take them to lockers, watch them testing (remotely or in person), get tests from students when finished, and return tests to faculty.
- Document storage: Scan DS paperwork and save in student’s file in Etrieve software.
- Assist with various special events, activities, assignments and projects as assigned including the Orientation for new DS students, Transition Academy Day, HS visits, the Inclusion Award, etc.
- Maintain confidentiality in all matters related to Disability Services and students.
- Collaborate with Administrative Assistant for the Dean of Student Affairs as needed.
- Perform other related duties as assigned.
Qualifications:

Education and/or Experience:
Required: High school diploma or GED. One year experience working in an office setting providing clerical support. Proficient in the use of Microsoft Office (especially Word, Excel, PowerPoint, and Outlook) and the internet.
Preferred: Associates Degree. One year working in a school or college setting. Bilingual (Spanish) is preferred but not required.
Computer Skills:
To perform this job successfully, an individual should be proficient in the use of Microsoft Office (especially Word, Excel, and PowerPoint) and Internet skills. Knowledge of Ellucian Colleague or other administrative software a plus.
Communication Skills:
Ability to read and comprehend simple instructions, short correspondence, and
memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to students and other employees of the organization.
Reasoning Ability:
Ability to apply common sense understanding to carry out simple one or
two-step instructions. Ability to deal with standardized situations with only occasional variables.
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
