Working Hours:
Working hours for this position consist of a 7.5 hour day (between the hours of 7:30 am and 7:30 pm) exclusive of a ½ or 1 hour lunch. These hours are to be agreed upon between the supervisor and employee at the onset of employment.
NOTE: This position may require additional evening and/or weekend work on occasion with the employee having the option of working this time, in addition to or in lieu of regular hours.
Summary:
The Information Center/Events Manger reports to the Director of Admissions and Enrollment Services and will have overall responsibility for all frontline communication between the College and the public, overseeing the Information Center, and calls received to the switchboard. The Information Center/Events Manger assists and trains part-time staff and work-study workers on the use of the switchboard, manages the day to day operation of the Information Center including the Ravens student Ambassadors, and performs other related administrative duties as assigned by the supervisor.
The person in this position has experience with event planning and oversees and supports all Admissions and Academic Affairs events and ensures that these events are successful. The Information Center/Events Manger is responsible for scheduling and planning all internal event activities including being the point person for facilitating room set-ups and scheduling caterers. Work involves non-routine, varied and complex duties performed under limited supervision. Work may require working evenings/weekends.
Essential Duties and Responsibilities:
- Oversee the day to day operation of the Information Center, including the campus switchboard.
- Serve as frontline support when needed to provide excellent customer service during peak times and to cover staffing gaps.
- Hire, train, and supervise the Raven student Ambassadors, whose duties include staffing the Information Center, providing campus tours, and event support.
- Responsible for coordinating all Admissions and Academic Affairs events (i.e. meetings, conferences, workshops), and assisting with identifying the resources needed: meeting/eating spaces, catering, technology, parking, set-up needs; responsible for coordinating event times and set-up times with Facilities, IT (Campus AV), and Security.
- Maintains inventory of supplies and accessories for all events.
- Develop reports needed to manage the Information Center and event planning. Develop strategies to measure and report on customer service outcomes and event satisfaction.
- Maintain budgetary records by performing bookkeeping-related duties such as reconciling and tracking expenses, preparing statements, running reports, and providing the status of budget accounts.
- Prepares purchase orders and enters budget adjustments as needed.
- Performs other clerical duties such as photocopying, faxing, scanning and preparing letters/folders.
- Orders and maintains inventory of department office supplies.
- Provides direct oversight of the Welcome Center in the absence of the Administrative Specialist
- Schedule staff for both in-person and remote Welcome Center services.
- Maximize the utilization of existing technology (MS Office Suite, Zoom, Calendly, jot forms) and implement new technological tools to enhance and improve operations and services.
- Document standard operating procedures to ensure the smooth and efficient front desk and online operations of the Info Center.

Education and/or Experience:
- Bachelor’s Degree
- Two years of demonstrated event planning experience
- Prior Supervisory experience
Preferred:
- Bachelor’s degree in business administration, hospitality, or a related field
- Bilingual English/Spanish
- Proven ability to lead a team

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine emails and reports. Ability to speak effectively of students, employees and visitors to the College. Bilingual English-Spanish is required.
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
